ROLE DEFINITION:
Prolanthropy is looking for a Foundation Administrative Coordinator to join our team.
This position will support the Foundation Management Team in completing tasks vital to our managed foundation's success.
This role will be key in offering administrative support for the foundation management teams through shipping logistics, accounting and finance processing, vendor onboarding and documentation, and auction fulfillment support as needed.
This is a key part-time, hourly position and will be located at the headquarters of Prolanthropy in Florence, Kentucky.
This position's exact days and hours are flexible, providing that the role is staffed at least 3 business days per work week.

ROLE
Responsibilities:
Foundation Financial Transaction Approval:
Efficiently handle and process the approval of all Foundation financial transactions, such as invoices, receipts, and in-kind donations.
This includes receiving, reviewing, and processing vendor invoices and receipts promptly and accurately.
Verify the accuracy of receipt and invoice details, including pricing, quantities, and terms, to ensure compliance with company policies and contractual agreements.
Confirm that internal classing and coding of financial transactions is aligned with internal guidelines.
Foundation Vendors Onboarding:
Successfully onboard new Foundation Vendors via our standardized vendor onboarding process to expedite the integration of new vendors.
This process should include collecting essential documentation and contract terms and conducting necessary due diligence.
Foundation Financial Transaction Log Maintenance:
Maintain precise and accurate logging of FDN financial transactions into the foundations' Workbooks and databases accurately and in a timely manner.
Maintain complete and organized digital documentation of financial records for easy retrieval and reference.
Foundation Shipping and Logistics:
Execute the seamless, cost-effective movement of Foundation goods and materials by working with our shipping vendors and recipients to meet expectations.
Shipping Auction Items:
Successfully execute the internal shipping of tangible auction items to winners by collaborating with our Auction Fulfillment Manager to quickly ship tangible auction items.
FOUNDATION ADMINISTRATIVE COORDINATOR MUST:

Qualifications:
1-2 years equivalent work experience in an administrative support role Track record of administering shipping in a high-volume environment Be familiar with financial terminology and accounting terminology Proficiency in all Microsoft Office platforms, especially Excel QuickBooks familiarity is a plus Be legally qualified to work in the United States Will consent to a pre-employment background check, including education and work history verification, as well as a criminal background check Be able to lift up to 30 lbs.

Prolanthropy utilizes the DISC Model and The Six Types of Working Genius Assessment, which assesses current staff and candidates' strengths, weaknesses, and personality types.
Candidates should be familiar with these assessment tools and be prepared to take one or both if selected for an interview.
The candidate may also be asked to take the Tri-Metrix assessment tool.
Salary Expectation:
The hourly salary for the position is up to $18/hour, depending on qualifications and experience.
